Step-by-step operating system

Step 1: Decide where data comes from

Common sources:

  • expense platform exports
  • card transaction matches

Step 2: Assign ownership

Beginner-safe:

  • one operations owner for the tracker
  • department coordinators as redemption owners (optional)

Without ownership, recovery does not happen.


Step 3: Define redemption rules

Rules to decide:

  • can credits be used by anyone or only original traveler
  • priority for expiring credits
